Since the last email newsletter we've continued to work hard on releasing the upcoming new version of LandlordMax. In fact we're making a lot of progress. We're definitely getting a lot closer to releasing it. So close in fact that today's newsletter will be focused on giving you a video preview of one of the bigger new features that's coming called Document Management. What this means in simple terms is the ability to store document files (Word documents and PDFs) with your data.

LandlordMax News and Update

As I just mentioned, we've been working very hard on finishing up all the new features for the upcoming new version, and as a result today I'll be showing you a video exactly what you can expect from one of these features. Or at least a big part of it, the Templating system wasn't quite ready enough yet to include in the video, so you'll only get to see the document management system for now.

The Document Management is simply the ability to store documents and files with your data. Again you'll be able to store Word documents (docx files) as well as PDF files. You'll be able to store these documents for your tenants, vendors, landlords, buildings, and so on. So for example you can store the lease agreement with your tenants, you can store contracts with your vendors, permits with your buildings. Pretty much everything you can imagine.

In addition to storing the documents, you'll also be able to preview them, print them, email them, as well as export them outside of the program. In other words you'll be able to do pretty much everything you need to do with your documents.

We're also working on a Templating system, using Microsoft Word's Mail Merge functionality, but this wasn't yet finished enough to include in the preview video. We're still working through the details of that. But that's something in addition that we're working on and hoping to have ready for this upcoming release. In case you're not familiar with this, it's the ability to generate documents from existing templates. So for example generate a lease agreement from a templated lease already stored within the software, with all the tenant's information, etc. automatically filled for you.

Lastly, and before I give you the link to the video, I want to quickly make the remark that in the video near the end I started to show how you could convert tenants to companies (the software will now support different tenant types), and that along with that the fields and tabbed panels will be automatically adjusted to what's most appropriate for the type of tenant. Unfortunately I didn't realize until after I uploaded and setup the video on the website that this wasn't yet completed, it was only partially completed. Therefore as such the tabbed panels will not be correctly updated in the video, this effort is still in progress. Therefore please ignore this error in the video.

If you want to customize a report, or combine multiple reports, and so on, then please note all reports can exported to the CSV file format, which can then be opened into an Excel spreadsheet. Once in Excel, you can customize the report, combine two or more reports, and pretty much do anything you want to in terms of creating your own custom reports. Property Management Tip:

We receive a lot of support requests from people asking if we provide lease agreement templates with the software. We don't, and that's a really good thing!! And anyone who does, we strongly recommend you avoid them, or at the very least be extremely careful. The problem is that many many lease agreement templates, and other legal documents available for free (or even paid), will not be legally binding for a number of reasons. It can be for very simple and really non-obvious reasons. The thing to remember is that the laws in some locations, be it states, cities, etc., can be different. What's legal and binding in one location can be illegal in another. Not only that but having a certain clause, term, etc. can void the whole agreement. An example of this is security deposits. In some places they are common, in others they are illegal, and using the term voids any lease agreement.

We cannot stress how important it is to get legal advice from a local professional, someone who knows the laws for your specific situation and location. It may cost a bit more but compared to the costs of having a non-legally binding agreement with a problematic tenant, well let's just say that can be a whole lot more expensive!! Not only that, but in some rare situations, it could actually be worse than just non-legally binding, it can cause you to have fines and so on. Again, back to security deposits, in some places adding that into a lease agreement can get you into trouble!

So again, we always strongly recommend you get legal counsel when it comes to legal agreements. And generally most lawyers will have pre-templated agreements such as leases and so on that they already use for their existing clients. In most cases, unless you try to customize the agreements a lot, the cost will be pretty reasonable. Especially if you compare the costs of having just one bad tenant with a non-legal agreement.
